Kettle's Yard is the University of Cambridge's modern and contemporary art gallery. The gallery is currently going through a period of change with plans to create a new education wing, remodel the exhibition galleries and offer enhanced facilities for visitors. It is also actively pursuing new partnerships, including working closely with the other University of Cambridge Museums within a major programme supported by Arts Council England.
We are looking for a well-organised administrator/PA to provide efficient, effective and confidential support to the Director and to provide administrative support for the Senior Curator, Head of Operations and other team members, as appropriate.
The Director spends much of his time in meetings and is often away from the premises, in other parts of the University and elsewhere. The Director’s Assistant provides secretarial support, keeps his diary, arranges travel and co-ordinates meetings, preparing papers as necessary. He/she will take responsibility for all correspondence on behalf of the Director, answering telephone enquiries and resolving as appropriate. He/she will also liaise with staff in the gallery office and act as central contact point for all departmental HR administration. Other activities will include event support and undertaking research on specific projects.
The role requires a high standard of interpersonal skills with the ability to deal with a wide range of people at all levels, a wealth of experience of working in a busy office, working effectively under pressure and of prioritising work in order to meet, on occasions, challenging deadlines. The role holder will need be able to work independently, acting effectively on their own initiative and with attention to detail.
Educated to at least A level standard, the successful candidate will be highly competent in standard software packages, eg Word, Excel, Powerpoint, Access, using Apple computers. He/she will also be able to prioritise their own workload and demonstrate previous experience as PA to a manager. The successful candidate will ideally have knowledge of the museum/gallery sector, with a particular interest in the visual arts.
